WHO WE HELP

Built for teams that run operations. not manage software.

Certiva works for operations managers, HR administrators, retail business owners, and DME suppliers. What they share: a workflow that is visibly breaking, a team too small for enterprise software and no time for an IT project.

Which situation sounds like yours?

Each Certiva module targets one specific day-to-day pressure point. Start with the one creating the most friction right now.

Payroll prep is eating hours it should not

You are manually reconciling attendance records before every payroll run. Corrections are routine. Certiva Workforce Control captures verified, exception-resolved records and exports them directly to Gusto, ADP, QuickBooks Payroll, or Paychex. Most teams cut prep time by more than half in the first cycle.

You find out about inventory problems after the customer asks

Stockouts happen because nobody saw the count dropping. Overstock ties up cash because purchasing decisions were made without real data. Certiva Retail and Stock Control tracks inventory in real time, fires low-stock alerts before the gap becomes a problem and connects directly to your POS.

DME cases fall through gaps between your tools

Equipment orders, delivery status, insurance billing and serial number tracking are spread across email, spreadsheets and phone calls. Cases get missed. Billing goes out late. Certiva DME Workflow Control puts every case in one place with a timestamped audit trail from intake to delivery.

Your payroll accuracy problem is actually an attendance data problem

The payroll processor works fine. The problem is the data entering it. Certiva Payroll Management is an upstream workflow layer that organizes records, manages approval chains and exports only verified data to your payroll processor. so corrections stop before they start.

We are honest about who Certiva is not right for.

If you need an enterprise HCM suite, a full payroll bureau, or a multi-location ERP, Certiva is not the right answer. If you need focused workflow software that a 20-person team can actually run without an IT department, it might be exactly right.

Questions from teams evaluating Certiva

We already use QuickBooks, Gusto, or ADP. Does Certiva replace them?

No. Certiva works alongside your existing payroll or accounting tools. Workforce Control and Payroll Management fix the attendance and approval process upstream of payroll. They export clean, verified records to Gusto, ADP, QuickBooks Payroll, or Paychex rather than replacing them.

How fast is implementation?

Most teams are day-to-day within two to five days. No IT project, no six-month onboarding timeline. You configure your team, set your pay periods and start capturing records. We do a live walkthrough on day one.

What if our team is not technical?

Certiva is designed for operations managers and HR administrators, not IT teams. If your team can use a smartphone and a browser, they can use Certiva. The admin side is configured once and mostly left alone.

We are a team of 15 to 30 people. Is Certiva worth it at our size?

This is exactly the size range where Certiva delivers the most value. Large enough that manual tracking creates real errors and real time costs. Small enough that you do not want or need enterprise complexity. Most teams at this size recover the monthly cost in the first payroll cycle they run without corrections.
